Procurement Agent

Location: Thunder Bay, Ontario

 

About Us: This position will work from our flagship 300 million board foot Sawmill / Planer / Pellet Plant operation at Thunder Bay, Ontario, and provide support as needed for our Atikokan & Ignace Sawmills.

 

Position Overview: The Procurement Agent collaborates closely with the procurement  team to manage the administration of equipment, materials, supplies, and outside services required for the company’s operations, ensuring cost-effective quality and service levels.

Key Responsibilities:

  • Health & Safety: Ensure compliance with health and safety legislation to minimize industrial accidents and diseases. Control direct and indirect health and safety costs.
  • Procurement Administration: Work closely with procurement to manage equipment, materials, supplies, and outside services, ensuring cost-effective quality and service levels.
  • Order Management: Expedite ordered goods, monitor shipping, follow up on backorders, and adjust orders as necessary.
  • Inventory Management: Set up and stock inventory items, issue purchase orders to replenish stock, and support parts inventory for Ignace and Atikokan Sawmills.
  • Vendor Relations: Support vendor contract relationships and maintain the purchasing department's computerized database.
  • Administrative Duties: Perform audits, manage accruals, handle month-end tasks, control key boxes, and manage vendor additions and modifications.
  • Purchasing: Understand and apply Resolute's Purchasing Process & Policies, review and adjust quotes, attain approvals, Designation of Authority (DOA), and manage daily purchase orders. Fills out PJF forms as required, files and monitors MSA’s for rates and renewals, and applies work orders as needed. Update prices, PO amounts, and arrival dates. Understand CogniBox and suppliers interactions; liaisons with suppliers for compliance. Follow Indigenous Procurement Policies. Prepares and cuts daily PO’s.
  • Controls: Manage buyer emails, follow up on back-orders, pricing, and shipment delays, and issue and review annual purchase orders. Understands taxes related to Ontario & Quebec. Correct work orders, cost centers and GL’s on PO’s if inaccurate.
  • Liaison: Work with divisional and operational personnel in the research and selection of materials services and costing information.
  • System Implementation: Maintain progressive implementation of parts ordering system, including an effective interface to Accounts Payable/Receivable.
  • Work Order Flow: Support maintenance Work Order Flow Process (Work Orders/Material Management/Job Kits).
  • Inventory Monitoring: Monitor, set up, and stock inventory items as required, including issuing purchase orders to replenish stock.
  • Support: Provide support to the Ignace and Atikokan Sawmills parts inventory.
  • Database Maintenance: Maintain and update the purchasing department’s computerized database.
  • Consultation: Consult with immediate supervisor on pertinent matters and perform special projects and other assigned duties as required.

 

 

Ideal Candidate:

  • Qualifications: Procurement / Supply Chain Management certification, or equivalent will be an asset.
  • Experience: 3 to 5 years in a related industrial environment.
  • Availability: Ability to travel occasionally and handle off-hours and weekend emergency calls.
  • Skills: Strong analytical, organizational, and problem-solving skills. Excellent judgment and ability to explain and influence.
  • Team Player: Ability to work as part of a team, communicate with all levels of the organization, and adapt quickly to change.
  • Technical Proficiency: In-depth knowledge of MS Office, MS Project, and CMMS. Solid computer skills.
  • Industry Knowledge: Perform the physical requirements of the position within the wood products industry.
  • Safety Commitment: Recognized for an uncompromising approach to safety.
  • Adaptability: Ability to adapt, organize, and implement best business practices.
  • Self-Motivated: Autonomous, motivated, and oriented towards excellence in results.
  • Attention to Detail: Strong attention to detail with the ability to see the big picture.
